THE POSITION: PARTNERSHIPS ADMINISTRATOR
We are seeking a detail-oriented and organised Partnerships Administrator provide vital support to the wholesale team in managing partnerships with independent boutiques, regional department stores, and online marketplaces in the UK and USA. The ideal candidate will possess excellent administrative, organisational, and communication skills, along with a passion for sustainable fashion.
KEY RESPONSIBILITIES
1. Wholesale & 3rd Party Operations Support
- Act as the primary point of contact for day-to-day communication with wholesale accounts, ensuring excellent partner relationships.
- Process and manage wholesale orders, ensuring accurate input into systems and timely fulfilment.
- Liaise with the warehouse and logistics providers to ensure smooth delivery of orders, meeting partner requirements.
- Manage and maintain partner records, ensuring up-to-date information on accounts, contracts, and contact details.
2. Order and Inventory Management
- Collaborate with the merchandising team to ensure stock availability for wholesale partners.
- Monitor inventory levels, flagging potential stock shortages or overstock situations to the relevant teams.
- Prepare and share order confirmations, invoices, and delivery schedules with wholesale clients.
3. Reporting and Analysis
- Generate and distribute weekly and monthly sales reports for wholesale accounts.
- Analyse sales performance, identifying trends and opportunities for growth or improvement.
- Support the wholesale team with data for business reviews and partner presentations.
4. Marketing and Trade Show Support
- Coordinate the creation and distribution of marketing and sales tools, such as lookbooks, line sheets, and order forms.
- Assist in planning and organising trade shows and events, including managing samples, setting up displays, and supporting on-site operations.
- Ensure marketing materials are aligned with Aspiga’s brand guidelines and sustainability ethos.
5. Administrative Support
- Maintain an organised and efficient filing system for contracts, order forms, and communication records.
- Track payment schedules and assist the finance team in following up on overdue invoices.
- Provide general administrative support to the wholesale team, ensuring smooth and efficient operations.
KEY ATTRIBUTES
Experience and Technical Skills
- At least 1-2 years of experience in an administrative or coordination role, preferably within wholesale, retail, or fashion.
- Proficiency in Microsoft Excel and other office tools for order processing and reporting.
- Familiarity with inventory management systems and online platforms (e.g., Shopify) is desirable.
Organisational and Analytical Skills
- Highly organised with strong attention to detail, ensuring accuracy in order management and reporting.
- Strong analytical skills, with the ability to interpret sales data and provide actionable insights.
Communication and Relationship Building
- Excellent verbal and written communication skills, with the ability to build positive relationships with internal teams and external partners.
- Customer-focused approach, ensuring a high standard of service to wholesale clients.
